Quadtro TMS App Policy
Last Updated: October 30, 2026
1. About Quadtro TMS
Quadtro TMS (Time Management System) is an enterprise workforce management and mobile attendance application.
Designed for organizations and their workforce, Quadtro TMS simplifies shift clock-ins and clock-outs, job assignment tracking,
workplace location validation, and daily attendance logging.
2. Account Provisioning & Authentication
-
Enterprise Accounts: Quadtro TMS accounts are provisioned and managed by your employer or corporate administrator.
-
Login Credentials: Users log in using their authorized employee name or ID and secure password provided by their organization.
-
Account Role: Access permissions and assigned job sites are determined by the employer's administrative portal.
3. Data Collection & Device Permissions
To provide accurate workforce attendance validation and shift coordination, Quadtro TMS requests access to specific device features:
📍 Prominent Disclosure: Location Data & Background Location Access
Quadtro TMS collects precise location data (GPS) to verify that attendance clock-in and clock-out actions occur within the authorized job location radius or company premises.
Background Location Disclosure: When enabled for off-site assignments or active duty tracking, Quadtro TMS may access your device location in the background (even when the app is closed or not actively in use on screen) to verify continuous duty presence and job site transit. Background location tracking is active only during your scheduled work shift and immediately ceases upon clocking out.
Location data is used solely for workplace attendance compliance and operational coordination. Location data is never shared with third parties for marketing or advertising purposes.
-
Camera & Photo Capture: Quadtro TMS accesses the device camera solely during clock-in or clock-out to capture a verification selfie photo. This prevents proxy attendance (“buddy punching”) and authenticates the employee’s physical attendance on-site.
-
Push Notifications: The app utilizes push notification services (such as OneSignal) to deliver shift alerts, schedule changes, and operational announcements. Users can manage notification preferences in their device or app settings.
-
Device & Network Information: Basic device identifiers, OS version, and network status are collected to facilitate reliable data synchronization and offline attendance queuing when network connectivity is intermittent.
4. Data Usage & Sharing
-
Internal Enterprise Use: All collected information (including attendance timestamps, GPS coordinates, and check-in selfies) is used strictly for internal workforce administration, payroll calculation, and job reporting.
-
No Third-Party Advertising: We do not sell, rent, monetize, or disclose your personal or location data to third-party advertisers or data brokers.
-
Authorized Disclosure: Data is accessible only to authorized administrators and managers within your employer’s organization, or as mandatory by applicable law and statutory obligations.
5. User Responsibilities
- Users are responsible for safeguarding their login credentials and not sharing their access with others.
- Users should promptly report any lost mobile devices or suspected unauthorized account access to their organization’s administrator.
6. Data Security & Storage
- We employ industry-standard encryption protocols (HTTPS / SSL / TLS) to protect all data transmitted between the mobile app and our servers.
- Attendance records, photos, and timestamps are stored in secure databases with strict access control mechanisms.
- While we strive to use commercially acceptable means to safeguard your personal data, no method of transmission over the internet or electronic storage is completely infallible.
7. Policy Updates
We may update this policy periodically to reflect enhancements to Quadtro TMS or evolving legal and regulatory standards.
Any material updates will be communicated through the application or administrative channels.
